What you will do:

  • Contract Management – Support the preparation and administration of rental contracts, ensuring accuracy and compliance with company policies.
  • Documentation & Records – Maintain well-organized and up-to-date records of equipment rentals, contracts, and client details.
  • Customer Relations – Liaise with clients to understand their rental needs, provide accurate information, and ensure a seamless hiring process.
  • Frontline Communication – Manage incoming calls and direct them to the appropriate team members.
  • Billing & Invoicing – Generate invoices, track payments, and assist in resolving billing queries.
  • Inventory Coordination – Work with the hire controller and operations team to monitor equipment availability and scheduling.
  • Problem Solving – Respond promptly to any rental-related issues, ensuring customer satisfaction is maintained.
  • Workshop Support – Assist in creating repair orders (ROs) and invoicing job cards for the workshop team.
  • Service Documentation – Scan and file service maintenance documents on the shared drive for accurate record-keeping.

What you will bring:

  • Administrative Expertise – Proven experience in administrative roles, ideally within the equipment hire or related industry
  • Strong Organisational Skills – Ability to manage multiple tasks with accuracy, efficiency, and attention to detail.
  • Excellent Communication – Clear and professional written and verbal communication skills to engage effectively with clients and colleagues.
  • Customer Focused – A proactive, client-centred approach to handling inquiries and fostering positive relationships.
  • Tech Savvy – Confident using the Microsoft Office Suite; experience with rental management software highly regarded.
